Connections and syncing
How Pocket-CFO connects to QuickBooks, Xero, Zoho Books, FreshBooks, Wave, and Sage Intacct, how a sync works, and what happens when one fails or you disconnect.
Supported accounting systems
Pocket-CFO connects to six accounting systems. Five use your provider’s own sign-in page; Sage Intacct uses a short form instead.

During the closed beta, each system is switched on per account; a card that isn’t enabled for you says so. Bank feeds are not available yet.
Pocket-CFO reads; it never writes
Pocket-CFO only ever reads from your accounting system. It never creates, changes, or deletes anything in your ledger, whatever you do in Pocket-CFO. Your credentials are encrypted on our servers, and your browser only ever receives a connection’s status — never its keys. See Security and trust.
How a sync works
A sync reads your latest figures and recalculates your metrics. Syncs run when you select Sync now on the Integrations page or the dashboard; there is no automatic background schedule, so sync whenever you want fresh numbers.
- A sync may continue in the background after you leave the page.
- If some data couldn’t be read, the sync finishes as completed with warnings and tells you what was missing.
- If a sync fails, nothing you already had is deleted — your previous figures stay in place until a sync succeeds.
- When a connection hasn’t synced in seven days, the dashboard marks your figures Stale data.
- Each organization can run up to 200 syncs a day.
More than one connection for one company
Some companies keep their books in more than one place. When a company has two or more connections, the Integrations page asks whether they consolidate. By default, a month reported by more than one connection is refused rather than added together, because silently summing two ledgers that overlap would double-count. An owner or admin can select Declare consolidation to state that the connections should be combined, and Withdraw declaration to undo it.
Disconnecting
Select Disconnect on a connection to stop syncing it. Pocket-CFO deletes its stored credentials immediately and records the change in the audit trail; your previously synced figures remain. You can reconnect at any time.
Disconnecting removes our copy of the access, not the approval you gave in your accounting system. To withdraw it completely, also remove Pocket-CFO from the connected apps in QuickBooks, Xero, or your other provider.
